Coffee and
Donuts Volunteer Instructions
Plan on arriving at the kitchen about 7:30 AM
Key:
The key to get into the kitchen and Family Center is located in a coffee can in the secure location. Bring the can with you to the kitchen to get started. The can also contains “seed money” for the donut table.
Place most of the money into the plastic bag in the can after each Mass.
When you are done cleaning up after the 11:30 Mass place all the money into the plastic bag, and then the bag along with the key, back into the can. Return the can to the secure location.
Set-up:
Open the divider between the kitchen and the family center. This should just lift up. There should be written directions and a diagram of the table set-up on the bulletin board on the North wall of the kitchen. (This is left of the walk-in fridge door above the microwave).
There should be eight round tables set up in the family center. One or two long tables should be placed north to south by the fireplace.
Each round table should have a carafe of coffee, a small container of sweeteners, a small pitcher of milk, some red stir sticks, napkins, and a stack of about 10 Styrofoam cups. You will find the cups in the walk-in cupboard in the kitchen. This is located along the west wall by the sink.
They will be in a large box on the floor on your left side when you first walk in the door. The carafes for the coffee are located in the upper cupboard on the east wall by the ovens.
The containers for the sweeteners and milk pitchers should be in the lower cupboard below the window. The sweeteners, the red stir sticks, and the tea will be in this cupboard also. If the containers and small pitchers are not there, look in the walk-in cupboard on the lower right side shelf. The napkin may be in the lower cupboard or in the walk in cupboard or below the counter, which divides the kitchen from the family center.
Each table should have about eight chairs around it. (For the eight AM Mass, you may want to place a small stack of chairs close to the table that is in the southwest corner of the room. There is a group of regulars that like to sit at that table.)
Donuts:
The donuts usually arrive around 7:45 to 8:00am. They will be delivered to the kitchen door. You will have to sign that you received them. (If they do not arrive by 8:15 call Borachinni’s Ginger Bell bakery to inquire about the delivery. Their phone number should be on the bulletin board by the telephone on the south wall.)
In the walk-in cupboard upper left shelf you will find some large plastic trays. Cut a variety of the donuts in half and place them on three trays. Place the trays on the long table by the fireplace. Replenish as needed. On this table, place a small basket with some “seed money” in it. (A basket can be found in the walk-in cupboard).
In the kitchen, cut and place more donuts on another two trays to use as needed for replenishing or for the next Mass.
For 11:30 Mass if there is a large amount of donuts left over, you will not need to cut the donuts in half.
Coffee:
The direction for making the coffee is taped on the wall just to the right of the coffee machines. Please follow the directions. Make sure you rinse the machines before you start and afterwards when you clean-up. The coffee and the filters are located right under the machines. The water for the coffee is pumped right into the wall and hooked up to the machine.
If you want, for the 8:00 Mass you can make ½ a batch that is twice as strong. The regulars at the southwest table will appreciate it. Start the coffee at about 8:30. Make 2 batches of regular and 1 batch of decaf coffee. Make more as needed. Go to each table with extra carafes of hot coffee and replenish as needed. While there, check supplies of napkins and sweeteners and milk. Replenish as needed.
Juice:
The juice is located in the walk-in fridge. You will find both apple and orange juice. Fill several cups ¾ full of both juices and place on the counter that divides the kitchen from the family center. Replenish as needed. On this counter, there should be a container of teas, a carafe of decaf coffee, a pot of hot water for the tea, a container of sweeteners, small pitcher of milk, stir stick, and a stack of napkins. Place the sign that says that coffee and donuts are being hosted by the St. Monica parents club. This sign is already made up and located by the microwave. There are two clear plastic holders that have several signs in them. Look for the Parents Club one, place it in the front, and put it by the tea and the other by the donuts.
Between Masses:
Between Masses wipe down the tables and replenish supplies as needed. Place most of the money into the plastic bag in the coffee can.
Clean up:
Wipe down the tables and the counters and vacuum the family center floor.
Wash and/or rinse the coffee carafes, milk containers, coffee pots, and the donut trays.
Sweep the kitchen floor.
Empty trash containers into the dumpster by the kitchen back door and replace the new trash container liners (liners are found on the bottom of sink by the ovens).
Turn off the lights and lock the doors. Place the key and all the money in the coffee can and return the can to the secure storage location.
