VOLUNTEER POSITION DESCRIPTIONS

 

Parents’ Club Board Positions

President — (2 year term) Conducts all Parents’ Club meetings and communicates closely with the principal. (1 year) Second year — Serves as past Parents’ Club President for 1 year term on the School Commission

Co-President — (1 year term) Shadows and supports current Parents’ Club President for 1 year; assumes the role of Parents’ Club President

Secretary — (2 year term) Records and distributes meeting minutes and agendas, handles correspondence for Parents’ Club and keeps the Parents’ Club bulletin board current

Treasurer — (2 year term) Oversees Parents’ Club budget and financial records. Treasurer assistant helps with deposits and other tasks as needed

Education — (2 year term) Coordinates educational enrichment activities for the school

Head Room Parent — (2 year term) Oversees Room Parent activities and communications

Service — (2 year term) Coordinates service activities for the school

Social — (2 year term) Coordinates social events and hospitality for students, parents, and faculty

Ways & Means — (2 year term) Oversees fundraising efforts for Parents’ Club

 

Education Positions

Chess Club — Organize and promote after school student chess club

Library — Assist the school librarian with shelving, book check-out/return, cataloging new books, book fairs, and other projects as needed

Parent Education — Serve as school liaison with Mercer Island Parent Education group and promote speakers to parents and faculty

Religious Education/Parish Liaison — Coordinate religious enhancements for the school

Science Fair — Assist faculty advisors with planning, organizing, and promoting the school Science Fair

Science Kit Coordinator — Inventory and facilitate the distribution of science kits to students

Yearbook — Coordinate production of the yearbook and advise the 8th grade yearbook staff (may coordinate with School curriculum)

 

Classroom Positions

Room Parent — Work with teacher to coordinate various classroom projects, activities, and parties. Plan and host a back-to-school class coffee. Must be a good communicator

Service Positions

Health Screening — Schedule and assist with screening hearing and vision

Hot Lunch Volunteer Coordinator — Compile the monthly hot lunch volunteer calendar from each class and send out weekly courtesy reminder e-mails to volunteers

Hunger Awareness — Plan and prepare annual Hunger Awareness lunch for students during Lent

Lenten Soup Supper — Help serve one soup supper on a Friday night during Lent

Lost and Found — Organize lost/found items and display for students and parents frequently during the school year

Picture Day and Picture Re-Takes — Escort classes to the photo location at their time. Help comb and “primp”

Safety/Emergency Preparedness — Review and inventory safety and emergency supplies for the school

Uniform Exchange — Launder and maintain inventory of donated uniforms and make them available free to interested families

Volunteer Data Collection — Input School Volunteer Form data into an Excel spreadsheet. (Job can be done from home.) Spreadsheet must be compiled prior to the beginning of the new school year and copies provided to the Parents’ Club President, Principal, and Development Director

 

Social Positions

Back-to-School BBQ — Plan, prepare, and serve BBQ for students and families on the first day of school. Coordinate set-up and take-down

Faculty Appreciation — Plan and coordinate Teacher Appreciation Week; includes staff luncheon and recess volunteers

Family Social/Game Night — Organize, schedule, and promote event, coordinate prizes, and arrange for Bingo calling

Family Social/Skate King — Schedule and promote event, coordinate with Skate King and volunteer ticket takers

Field Day — Assist with running Field Day games and activities under the direction of the School PE Teacher. Lead is responsible for coordinating volunteers

Field Day BBQ — Plan, prepare, and serve BBQ lunch to students. Clean-up kitchen as needed

Hospitality — Coordinate, set-up, and clean-up refreshments at various school and Parents’ Club meetings

New/Buddy Families — Lead Role — Lead is responsible for matching new families with buddy families. Assistant Role — Assistant is responsible for serving as a resource for a new school family through phone calls, introductions to others and time spent together at school functions

 

Ways & Means Positions

Box Tops/Labels for Education — Promote programs, organize contests, collect and send in Box Tops and Labels

Christmas Bazaar— (December) Lead works with vendor, schedules, and promotes sale. Assistants help with set-up, cashiering, and take-down

Cookie Dough/Pretzel Sale — (Spring) Lead works with vendors, organizes, and promotes sale. Assistants help with promotions, data entry, and distribution

Gift Wrap Sale — (Fall) Lead works with vendor, organizes, and promotes sale. Assistants help with promotions, data entry, and distribution

Hanging Basket Sale — (Spring) Lead works with vendor, organizes, and promotes sale. Assistants help distribute

Logo Wear — Organize sales and distribution, display samples at various school and Parents’ Club events

Magazines (new) — Work with vendor, organize, and promote online subscription and renewal program

Poinsettia/Wreath Sale — (Fall) Lead works with vendor, organizes, and promotes sale. Assistants help distribute

 

Scrip Positions

Chairperson — Coordinates and promotes scrip program

Finance Coordinator — Maintains financial records, prepares weekly scrip orders, and sends quarterly reports to Development Director and Parish Finance Administrator

Seller — Assists in selling scrip weekday mornings on M/W/F or Sunday after Masses. Can sell once-a-week, bi-weekly or monthly. Sales leads set-up, and enter orders into computer

Sunday Sales Coordinator — Coordinates and schedules Sunday sales

Clerical — Assists with a variety of jobs related to inventory and finances. Generally requires about 1 hour/week

Marketing — Prepares flyers and assists with promotions and sales incentives

 

CYO— Coordinated through Parish Office

Athletic Director — Coordinate with the head of the diocesan CYO, set up teams, coordinate scheduling and uniforms, and other tasks as necessary

Coach — Volunteers are needed to coach cross country, soccer, basketball, volleyball, and baseball. Practices are after school or in the evening and games are on weekends

 

Development Positions

Alumni Programs — Assist with communication and location of alums; help plan events

Catholic Schools Week — Assist in the coordination of various activities during the week

Catholic Schools Week Faculty Appreciation — Assist with faculty appreciation buffet lunch and snacks

Catholic Schools Week Grandparents/Grand Friends Day — Help plan and assist with this special event

Distinguished Graduate Reception — Assist in the planning and execution of this annual Catholic Schools Week event (on Sunday during Catholic Schools Week)

Mailings — Help with various bulk mailings during the school year

Newsletter — Help prepare 2-3 school newsletters to be mailed to all constituents

Office Support — Assist school secretary in the morning with collecting attendance, fielding questions, and other tasks

Open Houses — Assist with organizing open houses and greeting prospective new families

Phone-a-Thon — Assist with clerical or phone calling responsibilities for this 2-evening event held in early February. Assist with writing thank you notes to donors

Public Relations/Marketing — Help with the communication efforts with school, parish, and local communities

Scrapbook School Photos — Organize and archive school photos

 

Auction Positions — Gala and Spring Carnival

Gala Night — (November 19, 2011) Coordinate the planning and execution of the Gala

Spring Carnival — (Spring 2012) Coordinate the planning and execution of the Spring Carnival

Procurement — Contact potential donors and help solicit items for the auction

Inventory/Data Entry — Organize and account for all donated items. Input donation information into the computer using Maestrosoft

Advertising/Sponsorship — Solicit potential sponsors and advertisers to underwrite the cost of the auction. Work with the catalog lead to facilitate receipt of ad layouts

Publicity/Marketing — Work closely with the event leads on publicity and promotions

Auction Catalog — Work on the design, layout, and printing of the catalog

Invitations — Help design the Gala invitations and organize the printing and mailings

Decorations/Centerpieces — Plan and coordinate the decorations and centerpieces at the event site. Centerpieces will be sold at the auction

Class Projects Coordinator — Oversee all classroom auction projects. Work with the classes to keep them on deadline, and ensure that each project is photographed (Gala only)

Class Project (for each grade) — Plan and organize the class auction project and work with students and teacher to produce the finished item (Gala only)

Physical Set-up — General auction set-up

Silent Auction Displays/Signs — Help plan, set-up, and display the items for the Silent Auction including signs

Live Auction Display/Signs — Help secure props for Live Auction items and set-up table displays and signs

Refreshments for Volunteers — Help provide refreshments for our volunteers during event set-up

Spring Carnival Family Dinner — Plan and coordinate the Spring Carnival dinner

Teen Volunteer Coordinator — Help sign-up and oversee teenagers to work at the Gala and Spring Carnival

Registration — Help check-in guests on the night of the auctions

Clerking — Help with bid entry and payments the night of the auctions

Clean-up — Help clean-up and help tear down the day after (Gala) or the evening of (Spring Carnival) the auctions

Thank You Notes — Write notes of appreciation to our donors, patrons, and high bidders for IRS purposes
